NDL Community members Torfaen County Borough Council and SRS Wales (Shared Resource Services Wales) have used NDL technologies and experience to help build a pilot meeting support solution that is full of features to support their social worker teams. 

Using NDL’s Evolve suite of products (Digitise Apps, Workflow and Smart API Connect), they have constructed an intuitive and complete frontend tool for their Social Workers to go into the field and record meetings with Service Users. This integrates into the full digital solution, which combines multiple, layered AI engines which transcribe participants' conversations and summarise them in a highly structured way.  

The solution will allow staff to accurately and securely record client meetings irrespective of the location or mobile signal. Maintaining HITL (human-in-the-loop) oversight, this transcription and meeting analysis will then be approved or amended by the social worker before continuing its journey into the back-office system. 

The solution pilot is being evaluated across 4 local authority partners – Torfaen, Blaenau Gwent, Newport, and Monmouthshire. It is currently estimated it will save social workers 1,060 hours per month from meeting administration. 

Based on successful initial trials of the technology, the transcription meeting support tool is now also being evaluated for use in other key areas, such as: 

  • HR – Appraisal, Well-being, and Disciplinary Meetings 
  • Public Protection Inspections
  • Adult Mental Health Interviews 
  • Environmental Health Inspections 
  • Planning & Building Control Inspections 

This is a highly replicable solution that has been built on the NDL Evolve Platform in conjunction with Microsoft’s Public Sector Community-Driven Sonic-Brief AI Early Adopters Innovation Programme. The solution can be targeted at any meeting type that requires highly structured summation and includes a range of additional AI services such as semantic analysis or specialised dictionary support.
